You may not wish to permanently delete a user from Celoxis Celoxis does not delete users from the application; instead they are deactivated. This is because a lot of data associated with the resource (documents, forum messages, time sheets and status updates) forms a part of an organization's knowledge base and needs to be preserved. Celoxis allows you to archive the resources instead. You can archive both licensed and generic resources. Archiving
Deactivating the licensed users frees up their license and you can use that license for a new user. Only a user with Admin access can archive users. 

To deactivate a User:

  1. On the main menu, click Settings, and then click Company.
  2. In the Users And Clients section, click User Accounts.
  3. For a user, click on the actions drop-down and select Deactivate.
  4. If user has projects / tasks / processes assigned, then reassign them to other user. 
  5. Click Submit. The resource is Deactivated.

  1. From the drop-down, select the user to whom all the current responsibilities of the user being deactivated need to be re-assigned.
  2. Click Deactivate. The resource is Deactivated.

The responsibilities of the user being deactivated include the following:

  1. Open Projects where the user is the PM.
  2. Open tasks assigned to the user.
  3. State where the user plays the State Manager role.
  4. App items assigned to the user.
  5. Role memberships for Projects and Apps.
  6. User-specific data like events, contacts, etc. are deleted. 
     
Tip
  • Only a user with administrative privileges can perform this operation.
  • The Deactivated user cannot log into the system.
  • You can

  • reactivate an
archived
  • deactivated resource if you have available licenses.
  • If you do not wish to reassign the responsibilities of the user you wish to deactivate, you can simply clear off the login details of the user. This will free up your license and the responsibilities will still be under the original user.
