Celoxis provides a unique way for users to reply via email and have their replies filed in the appropriate place; be it  app item creation, task updates or forum topic replies. Lets look at an example of how an app item say Bug is created in Celoxis.

Let's assume that you have created the following on your mail server:

  1. Email account celoxis@acme.com which is also called the postman address.
  2. An alias bugs@acme.com which forwards mail to the postman address.

In Celoxis, you have added the mapping such mails received by Celoxis at bugs@celoxis.com are redirected to celoxis+NI-17f-2433@celoxis.com  for creating the app item i.e bug.

  1. Joe send an email to bugs@celoxis.com from his mail client with the email in the format required to create an app item.
    The mail client then connects to the mail server for sending the mail. 
  2. Once the mail server receives the mail, it checks:
    1. The To from the email to very if the mail is from an authenticate user.
    2. The From to verify if its knows the recipient. Here, the recipient is bugs@celoxis.com. The mail server then checks if there is any forwarder for this which in our example is rge postman address 
      i.e celoxis@acme.com
    3. The mail server than deposits the mail in the mail-box for "celoxis".
  3. Celoxis connects to the mail server periodically to check if there are any mails. 
  4. Now, Celoxis finds that in its mail box, there is an email in which the To is bugs@celoxis.com
    So, the application looks if there is any email alias set for the same address; which it finds as celoxis+NI-17f-2433@celoxis.com and hence understand that with this an app item is to be created.
  5. Celoxis now creates an app item using the email details.

Celoxis uses the Incoming settings as any other mail client. If you app item, task updates are not created or filed, please ensure that your settings are correct. For details, refer here.
