Project States
Celoxis allows you to define your own project states to suit your business requirements. The following are the pre-defined states. You can edit them OR add your own states as necessary.

Stages
A “stage” determines the behavior of a particular state. Most system actions are tied to a project stage. There are three stages: Planning, Execution and Closure to correspond to different stages in your project life-cycle.
For example, if a state has a stage “Planning”, then email notifications are not sent. The RAG indicator of the project with this state will be “Not Active”. Similarly, the projected dates for the tasks/project will not be shown. However, adding exceptions will affect the task dates.
The following table describes the behavior of each stage.
Stage | Show RAG (project) | Show RAG (task) | Send Email Notifications | Resource Work Exceptions impact schedule | Recalculate projections |
Planning | (Not Active) | ||||
Execution | |||||
Closure | (Not Active) |
Migration for existing customers:
All existing project “phases” will be automatically migrated to the project “states”.
The policy “Allow time on archived/In planning projects” will be removed. The corresponding states will automatically have the 'Allow Time' checkbox enabled for it after the migration.
The “Completed” status (schedule status) of a project will be removed as is necessary to decouple the project states from its schedule status. For Completed Projects, one can always define a “Completed” Project state.
The “Completed” status (schedule status) for tasks will no longer be available. For new RAG statuses, refer here. The rationale behind this approach is that a lot of customers are interested in performance analysis of their completed tasks. For example, how many tasks were completed on time and how many of them were late in completion. With the “Completed” Schedule Status, this is not possible currently.
Users who have explicitly set Schedule Status filters to include the “Completed” option will have to manually change their report definitions to accurately get their report data. The system cannot automatically handle this change during the upgrade. A default filter Display Tasks is available in Task report with following options: Starting Today, Starting this Week, Starting this Month, Due Today, Due this week, Due this Month, Incomplete, Completed, Recently Completed. This filter has an implicit matching criteria of projects whose stage = "Execution". Other stages will not be included in this filter matching criteria. Alternately, you can also add a "Task: %Complete < 100" filter to your reports.
The “Project Is” filter (Filter Work items) on the Timesheet will always be visible. It will show all states on which time is allowed.
- The ‘Recalculate Projections’ option will not be visible when the stage is either "Planning" or "Closure".
