Invoice Time
In the real world, after time that is to be billed is approved by the manager, the client gets invoiced. Celoxis lets you mark approved and billable time entries as 'invoiced'. This helps to ensure that time is not double invoiced to your clients. Invoicing has been provided as a special privilege which you can choose to grant to the person in your organization who will be responsible for invoicing.
To Invoice time-entries :
- From the main menu, click on and then Invoice Time.
- On the new page, select the time entries to be invoiced. You can use the Date and P : Client : Name filter to filter the time-entries.
- Click on Invoice.
- The invoiced time entries will be removed from this report.
To Un-Invoice time entries :
- Run a time-entry report.
- Edit the report and add the State filter to the report. You need to select the Invoiced state in the filter to be able to view the time-entry to be un-invoiced.
- Now, run this report and select the time-entry to Un-invoice and click on Edit.
- Click on Un-Invoice.
- Only time-entries that are marked as billable and are approved will appear on the Invoice Time page.
- You need to grant the Invoice privilege to the role who will be invoicing the time-entries.
- After Invoicing the time-entries, the State of the time-entry will be Invoiced. They will appear in Green on the Weekly Time page. You can run a time-entry report with the State filter set to Invoiced to view the invoiced time-entries in a specific period.
- The Task attribute Amount (Time, Invoiced) will show you the sum of billable amounts of time-entries against that task that are marked 'invoiced'
- Time entries that are marked 'invoiced' can be 'un-invoiced'. This will reset the state back to 'approved' (blue). Only a person who has 'Invoice' permissions can un-invoice
- If an invoiced time entry needs to be edited, a person who has 'Invoice' permissions and 'Edit' permissions can do so.
